Hi everybody, Franco here from Wisdify! If you’ve ever spent hours manually tweaking Excel spreadsheets to make them look polished, this guide is for you. Today, I’ll show you how to replace cell formats throughout an entire Excel workbook quickly and effortlessly.
This method will:
- Save you hours of manual work
- Make your spreadsheets look professional
- Ensure consistent and error-free reporting
Let’s dive in!

Why Manual Formatting Isn’t Efficient
Imagine you’re preparing a report for top management, but your data is messy and inconsistent. It includes:
- Unformatted numbers
- Mixed styles
- Inconsistent colors
Sure, you can manually select ranges and update them one by one, but if you’re working with multiple tables, it could take all day. Let’s avoid that by using Excel’s Find and Replace feature for formatting.
Step 1: Open the Replace Tool
To start, navigate to the Home tab on your Excel toolbar and click:
Find & Select → Replace.
This tool allows you to make bulk changes across your worksheet, including formatting adjustments.
Step 2: Configure Your Formatting Changes
- In the Replace dialog box, click Format under the “Find what” field.
- Choose the format you want to replace. For example:
- Find: Number format without commas.
- Replace: Accounting format with commas.
You can customize further by selecting number alignment, font, borders, or even fill colors.
Step 3: Apply Changes Across Your Workbook
- Set up the “Replace with” field with the desired format.
- Click Replace All to apply changes to the entire worksheet.
For example, you can replace all unformatted numbers with a professional accounting format in seconds.
Step 4: Advanced Example – Changing Cell Colors
Formatting isn’t limited to numbers. You can also adjust colors:
- In the “Find what” field, select the current color (e.g., blue).
- In the “Replace with” field, choose a new color (e.g., gray).
- Click Replace All to update every cell with the new color scheme.
Bonus: Apply Formatting Across Multiple Sheets
To apply changes across multiple sheets:
- Hold Ctrl and select the sheets you want to edit.
- Perform the same Find and Replace steps.
Your formatting changes will apply only to the selected sheets, leaving other tabs untouched.
Wrapping Up
This method lets you replace cell formats quickly and efficiently, saving you time and effort while ensuring a consistent, professional look.
